Event Booking Terms and Conditions

These Terms and Conditions ("Booking Terms") apply to bookings made for events, dinners, brunches, drinks mixers, and other experiences (each an "Event") organised by Oxfordshire Discoveries Circle Ltd, a company registered in England and Wales (company number 17343232), with registered office at 71-75, Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ ("we", "us", "our").

By making a booking with us, you confirm that you have read, understood, and agree to be bound by these Booking Terms and our Privacy Notice.

1. Booking Your Place

1.1 Places at an Event are subject to availability and are allocated on a first-come, first-served basis unless stated otherwise on the relevant Event listing.

1.2 Events are intended for adults attending in a personal capacity. Tickets may be transferred to another person in accordance with clause 4.4 below.

1.3 It is your responsibility to check the date, time, venue, and any dietary or access information at the time of booking. We are not responsible for any inability to attend arising from an incomplete or incorrect booking.

1.4 Some Events may take place at third-party venues and may be subject to that venue's own house rules, which will be communicated to you in advance where applicable. By booking, you agree to comply with those rules alongside these Booking Terms.

2. Confirmation of Your Booking

2.1 Once we receive your booking and payment, we will send a confirmation email to the address provided at the time of booking.

2.2 Your booking is not confirmed, and your place is not guaranteed, until you receive this confirmation from us.

3. Payment

3.1 Full payment is required at the time of booking to secure your place, unless otherwise stated on the relevant Event listing.

3.2 Prices are shown inclusive of any applicable taxes. We reserve the right to correct pricing errors on the booking platform prior to confirming your booking.

3.3 Payments are processed securely through our website's payment provider. We do not store your full card details.

4. Cancellations and Refunds

4.1 Unless stated otherwise on the relevant Event Listing, if you cancel your booking at least 7 days before the scheduled Event, you will receive a full refund.

4.2 Unless stated otherwise on the relevant Event Listing, if you cancel within 7 days of the Event, we'll offer your seat to our waitlist and refund you in full if it's filled. Because venues and menus are committed based on final numbers, we're unable to refund late cancellations that aren't filled from the waitlist.

4.3 Failure to attend an Event without prior cancellation will not be eligible for a refund or the waitlist process under clause 4.2.

4.4 You may transfer your ticket to another person at any time before the Event, free of charge, provided you notify us in advance at info@oxfordshirediscoveriescircle.com and provide the full name and contact details of the person attending in your place.

4.5 Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the 14-day statutory right to cancel an online purchase does not apply to leisure services supplied for a specific date, such as our Events. Clauses 4.1–4.3 above govern your right to cancel instead. Nothing in these Booking Terms affects your statutory rights where services are not provided with reasonable care and skill.

5. Our Right to Reschedule or Cancel an Event

5.1 We reserve the right to make a significant change to, reschedule, or cancel any Event at our discretion, including where circumstances beyond our reasonable control (including venue unavailability) make this necessary.

5.2 In this case, you will have the choice of a full refund or a transfer to another Event.

5.3 We will make reasonable efforts to notify you of any change as early as possible.

6. Attendance at the Event

6.1 Please arrive at the stated start time. Late arrival may mean we are unable to guarantee your full participation, as Events are run to a fixed schedule agreed with the venue.

6.2 We reserve the right to refuse entry, or to ask a guest to leave, if their behaviour is disorderly, disruptive, or puts the safety or enjoyment of other guests, staff, or venue personnel at risk.

6.3 You are responsible for any personal costs associated with attending an Event, including travel.

6.4 We and any third-party venue are not responsible for the loss, theft, or damage of personal belongings brought to an Event.

7. Age Restrictions

7.1 Our Events are curated exclusively for adults aged 18 and over. Children are not permitted to attend any Event, whether as a ticket holder or as an accompanying guest. We reserve the right to request proof of age and to refuse entry where this cannot be provided.

8. Allergies, Dietary Requirements, Accessibility and Health

8.1 You are responsible for informing us of any allergies, intolerances, dietary requirements, or relevant medical conditions at the time of booking. Unless stated otherwise on the relevant Event Listing, please provide this information no later than 7 days before the Event.

8.2 You are also responsible for informing us of any accessibility requirements at the time of booking, so that we can pass this on to the venue and give you accurate information about the venue's suitability for your needs. Unless stated otherwise on the relevant Event Listing, please provide this information no later than 7 days before the Event.

8.3 While we will pass on all disclosed information to the venue, food and drink at our Events is prepared and served by third-party venues, and we cannot guarantee an environment entirely free from allergens. Where you have failed to disclose relevant health information in advance, neither we nor the venue will be liable for any illness, injury, or loss that could reasonably have been avoided had the information been provided.

8.4 We will describe a venue's accessibility honestly and to the best of our knowledge when asked before you book. However, as many of our Events take place at characterful, and sometimes historic, third-party venues, we cannot guarantee that every venue will be suitable for every access requirement, and we encourage you to contact us before booking if you have any concerns.

9. Photography and Filming

9.1 Photography or filming may take place during an Event for use in our marketing and social media. By attending, you consent to this unless you tell us that you would rather not appear, which you may do at any time, before or during the Event, and we will keep you out of any published content.

10. Third-Party Venues

10.1 Our Events are hosted at venues we do not own or operate. We select venue partners carefully, but we are not responsible for the acts, omissions, service standards, or safety practices of any third-party venue or its staff, except to the extent required by law.

10.2 Any specific terms and conditions of the host venue that apply to your visit will be made available to you in advance where relevant.

11. Personal Data and Privacy

11.1 By booking an Event, you consent to us processing your personal data for the purpose of administering your booking and the Event, in accordance with our Privacy Notice.

11.2 Where a booking is made at a third-party venue, limited relevant details (such as your name and any disclosed dietary requirements) may be shared with that venue solely for the purpose of delivering the Event.

12. Liability

12.1 To the fullest extent permitted by law, we shall not be liable for any indirect or consequential loss arising from your attendance at an Event.

12.2 Nothing in these Booking Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot lawfully be excluded.

12.3 Your statutory rights as a consumer are not affected by these Booking Terms.

13. Complaints

13.1 If you experience any issue before, during, or after an Event, please contact us at info@oxfordshirediscoveriescircle.com and we will do our best to resolve it promptly.

14. General

14.1 These Booking Terms are governed by and construed in accordance with the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14.2 We may update these Booking Terms from time to time. The version in force at the time of your booking will apply to that booking.
